Shipping Operations/DA (disbursement account) Coordinator

WHAT YOU’LL DO?

• Manage and monitor vessel mail dispatches from the office until confirmed receipt onboard. 

• Maintain and update the port agents database, including onboarding new agents and disabling inactive ones. 

• Monitor vessel communication charges, review monthly invoices, and alert vessels and the operations manager in case of excessive usage. 

• Ensure vessel schedules align with actual charterer-provided schedules. 

• Track damage reports and prepare drafts for operations manager approval. 

• Handle agents’ Disbursement Accounts (DAs): 

• • Ensure timely receipt of DAs from agents/charterers. 

• • Verify DA data against actual vessel activity and quoted prices. Allocate charges to relevant departments and route for approval per company policy. 

• • Follow up with departments to complete the approval process. 

• • Forward approved DAs to the accounting team and monitor payment or deduction status. 

WHAT YOU’LL NEED?

• High attention to detail and accuracy. 

• Strong service orientation and communication skills. 

• Ability to work with both local administrative teams and remote management. 

• Proficiency in Microsoft Excel. 

• Prior experience in the shipping industry – an advantage. 

• Sea-going background – an advantage. 

• Good command of English (spoken and written).
